When Notion is the right answer (and when it isn't)

Every few months a founder asks us the same question: should we build our business on Notion, or is that just delaying the inevitable move to “real” software? The honest answer is that it depends entirely on where the pain actually is.
When it works
Notion earns its place when a team is small enough that a flexible system beats a rigid one, and when the real problem is that knowledge lives in people’s heads instead of somewhere shared. It’s cheap, it’s fast to reshape, and — critically — teams actually open it instead of avoiding it.
When it doesn’t
It stops being the right tool once you need heavy accounting, complex inventory, or strict permissions across dozens of staff. We’d rather tell a client that on day one than watch them outgrow it in year two.
